Rock U - Rock Fundamentals - Categorize Defined Values

Transcribed Video Content

In this video, we're gonna look at categorizing defined values, which helps you find the defined value that you're looking for without having to go through a long list of values. If you haven't watched the defined types video yet, you might wanna go back and check that out before this video. Otherwise, let's dive in. First, we're gonna navigate to admin tools, general settings, and define types. And we'll we'll go ahead and create a new define type. We're gonna call this sports. We'll list out some sports. I should give it a description and probably some help text, but, but for now, we're just gonna leave this as is. But we're gonna come down to, here and enable categorized values. Okay. So if I save that, our new defined type here, you'll notice that here near the top left, we have a new edit value categories link. And if we click on that, we can, start adding categories here that our defined values can use. So maybe, , we're talking about sports. Maybe we have it split up into, adults and maybe children. Now, each category that you create can have child categories. So, let's say under children, we'll just click children there. We wanted to add a couple and maybe have it be elementary. We could break it up a little bit more. And high school. Something that. Okay. So these are subcategories of the children category. Okay. So if we go back, we have our two categories there, and and we're all set. So now we can start adding some defined values. So we'll just say baseball is a sport. And then here we have our category selection. We can choose adults or children or break down children into elementary and high school. We'll say baseball is for adults. Sure. And let's see here. We could have basketball. We'll make that , we'll we'll assign that to children just so you can see what it looks . We'll go ahead and assign that to the generic children activity. And then we can add maybe volleyball, and maybe we'll put that under elementary. And then maybe soccer that we could put under high school. And last but not least, we'll just add football. And we're not gonna assign football a category. We're gonna leave it category lists. Okay. So, with our defined values in place, there's a special way that you use categorized defined values, when you're using it, say, as an attribute or something that. So we'll create a person attribute for this, and we'll do that by going to admin tools, general settings, and person attributes. And we'll go ahead and add a new attribute for support. Now, the field type here is not gonna be what you might think, which is, , there's a defined value field type, but we're gonna need to use the categorized defined value field type. And then the defined value the the defined type that we're gonna use is sports, the ones the one that we created. And then here, can choose which selectable values. We're gonna have them all be selectable. Okay. So, if we save that as a person attribute now, let's go ahead and pull up somebody's record. So, we'll go to Ted Decker's record here and over to extended attributes. Okay. And I went ahead and put that attribute under the membership category. So if we come here, down here, we can see sport. Okay? And then here's the sports category, and right now it's all categories, is what's selected. And what that's gonna do is it's just giving us football. Because we haven't picked a category yet. So it's gonna always list, defined values that have no category. So football is always gonna be in the list. But let's go ahead and pick a category. We'll start with adults just so you can see what that looks . So if we pick adults, then we can see baseball, which we assign to adults, and then also football, because again, it's not football is not categorized. But then if we choose children, now we have a new drop down for the children category. And right now it's set to all categories. So when we look at that, we see basketball and football. And if you remember, basketball was the one that we picked that was assigned directly to the children category, not to one of the subcategories. So that gives us those two. But then we can drill down and actually pick elementary or high school as the subcategory. And then when we do, we get basketball, which was in the children category, volleyball, which was assigned to elementary, and football, which had no had no category. And then the same thing if we switch over to high school. We would just get basketball from the children's category, soccer because that's what we assign to high school, and then of course football. And that's how you create and work with, categorized defined values. For more information on this, it's documented in the Rock Admin Hero Guide posted to the community website. Thanks for watching.
