Rock U - People - Data Automation v13

There's a lot of data in Rock. Luckily, Rock also comes with tools to help you maintain the integrity of that data. Let's take a look at the data automation features to show how you can keep your data updated and organized. To check out the data automation settings, we're gonna go to tools and data integrity, and then data automation. Now, the first thing that you'll see up at the top are the general settings, and that has the setting for the gender autofill confidence.
And what this does is it'll use a first name to assign a gender to people that don't have a gender. But we have to be 99.9% sure that that first name is either male or female. Then below the general settings, we have our data automation settings. And this is where you can enable or disable any of these listed automations. So at the top, we have reactivate people.
And if we enable this, you can see, the settings for it. And what this does is, people who are inactive will be reactivated if they meet any of the selected criteria here. So these would be read as or statements. The person will get reactivated if any family member has made a contribution in the last ninety days, or if any family member has attended a group that is considered a service in the last ninety days, etcetera, etcetera. So if any one of these items gets matched, then the person will be reactivated.
Down below, we have inactivate people, and this will inactivate people who are active if all of the selected criteria are met. So this is different from reactivating because these would be and statements. , we need the number of the days that the record must be older than, and no family member has made a contribution in the last five hundred days, and etcetera, etcetera. So all of these conditions must be met, in order for the person to be made inactive. Next, we have Update Family Campus.
And we can enable this. And what this does is it updates the family's campus based on the provided criteria. So, you can, for instance, calculate the campus based on the most family attendance to a campus specific location in the last ninety days. You can also choose to ignore any family that has had a manual campus update in the last ninety days. So if somebody manually set it to one campus, you won't undo that.
So there's a few settings on here that you'll want to review, but this will help you keep the family's campus up to date. Next, have Move Adult Children. And what this does is it automatically moves children into a new family of their own once they become adults. And when does that happen? They become adults when they reach this age that you have configured here.
So out of the box, when they turn 18, the children will be moved out of their current family and into a family of their own. Again, here, there are a variety of settings that control when and when and how this happens and and what happens when it does. So be sure to review these if you're gonna use this. Up next, we have the update connection status. And this one's pretty straightforward because it's driven purely by data views.
So the person's connection status will be updated to member if the person is returned by the data view that you pick here. Same thing for attendee, visitor, etcetera. So you just write up a data view, and whoever gets returned by that data view, that's the connection status that they get. Pretty straightforward. Next, we have update family status.
And this one is pretty straightforward too because, again, it's driven purely by data views. And so if you want the family status to be updated to participant or unknown, you'll just write a data view that returns them, and that's the status that they'll be assigned. And, of course, when you're done, just be sure to click save. And remember, you don't need to have all of these enabled. You can choose one, some, all of them.
It's up to you. So, as you can see, you have a lot of options for automation when it comes to maintaining your data. For more information on data automation or in data integrity in general, be sure and check out our Rock Admin Hero Guide. Thanks for watching.
