Rock U - Content Management - Rock Media Required Watching

Sometimes people are required to watch certain videos. For instance, a new staff member or volunteer might be required to watch certain videos to become more familiar with your organization. Or maybe you're offering a class that has videos that are required to be watched. Whatever the use case is, you can use Rock's workflow feature combined with Rock's media feature to create required watching. Let's take a look.
To start, you'll already need a media account set up in Rock. And to do that, you will have probably gone to the Rock shop and downloaded one of the plug ins, for Vimeo or YouTube that, lets you do that. And you can refer to the plug in document for getting started. But once you're set, we can set up some required watching by going to admin tools, general settings, and workflow configuration. And we've got a workflow started for this purpose, just for example purposes here.
And if we take a look at it, right now it's just a very basic workflow with one action, which is the form action. We've got person entry enabled, so we're gonna be asking for some person information. And and that's about it. That's about all we have going right now. So, to add required watching, we're going to add an attribute to the workflow, and we'll call it media watch.
And that's gonna be the name of the field type that we want to use, media watch. So, as soon as you select media watch as your field type, you get some options down here. The first thing that you'll need to do is select which account you want to use from. So, I'm just using a sample local media account, but you might have an account for Vimeo or YouTube. You would then select the folder that the video you want is in.
And last but not least, you'll select the media element itself, the individual video that that you want watched. Down below, you can provide a completion percentage, and that's the amount of the video that the person needs to watch before they can submit the workflow form. You might be tempted to put a % in here, but you probably want to give people a little bit of wiggle room, , maybe they close out of the video a second before it ends and they haven't quite hit 100%. So, maybe we can give them some grace and put 95% instead. Auto resume in days relates to a scenario where if a person starts watching the video, but then say stops halfway through, how many days do they have to come back to start it up again from the point where they left off?
So we'll set that to fourteen, which means that the person stops watching the video and then comes back more than fourteen days later, they're gonna start over at the beginning of the video. Next, we have the maximum video width, which just controls how big the video is itself on the screen. You don't need to put anything in here, but we'll make it a little bit smaller so it doesn't fill up the whole screen. We'll put 75. And then lastly, we have a validation message.
This is the message that's going to appear if the person attempts to submit the workflow form without watching the required amount of the video. So, we'll put in a quick message, please watch the entire video. And that's all we need here. We can save our attribute. And then if we come back down to the form, our attribute's here, and we want to make it visible, editable, and especially required.
We want to make it required so that they have to watch the video before they can submit the form. And we'll go ahead and save the workflow. And from here, can go ahead and run it. So, up at the top, we have our person information, and we've got that all auto filled in for us. And then down below, we have the video.
And we can play the video from here within the workflow form, as you can see. Now, if we try to submit this form as is, we'll get an error message. And there's our custom message that we put into the media watch attribute. Please watch the entire video. So we haven't watched the entire video, so we can't submit this yet.
And that includes, if somebody is clever, or tries to be clever and skips to the end, and maybe just watches the end of the video. So, the progress bar, it looks they've watched a %, but Rock is smart enough to know that they skipped over that part in the middle. If we try to submit it this, we'll still get our error message. You need to watch the video in its entirety without skipping over pieces in order to submit the form. So, as you've seen, it's quick and easy to set up workflows to require somebody to watch a video.
Of course, you can also make the video optional by deselecting the required box in your form configuration, and that way the video will just appear, but they can submit the workflow without having had watched it.
