Giving alerts let when there's a change to somebody's giving habits and let you take actions accordingly. So for instance, you might want to thank somebody who's given a larger gift than usual, or you might want to follow-up with somebody who used to be giving regularly but has stopped. As you'll see, there's lots of options and lots of different ways to trigger giving alerts. You can view the giving alerts in your system under the finance menu and under giving alerts. And here you'll see the list of giving alerts.
And here we've got a couple of examples. Ted Decker has a gratitude giving alert, which is represented by a green circle, while Bill Marble here has a follow-up giving alert, represented by the yellow circle. You can have multiple different giving alerts, but all of them will fall into one of those two categories, either gratitude or follow-up. So if we look at Ted's gratitude giving alert, what happened here is that he got the alert for a larger gift than usual. And why did he get that alert?
He gave a gift of $1,000. That's the gift amount that triggered this alert, which was about $685 above what he usually gives. And this is highlighted green because this is the element that actually triggered the alert. He also gave it a little bit later than he usually does. That's what that means.
Then we have our his amount measures and frequency measures. This tells you at the time the gift was given, what the person's, , average giving amount is and how much it varies by. So so Ted has a zero point zero interquartile range, which means he very regularly gives, $315 exactly. And we can tell that he gives about once every month, and that can and that can vary by about five five and a half days. And we'll look at the configuration that triggered this alert in a moment.
Down below, we have a follow-up alert for Bill Marble because he recently stopped giving. Here, we don't have a gift, so some of this information is blank because there wasn't a specific gift that triggered the alert. It was a a lack of a gift. But we can still see his amount measures and his frequency measures as well. So, let's take a look at some of the configuration behind what triggered these alerts.
And to get to the configuration, you'll click the gear icon here at the top right corner of the block. And on the new page, you'll scroll down to the very bottom, and that's where we have the configuration for our giving alerts. This configuration starts with some repeat prevention duration settings. And so the global repeat prevention duration says wait this many days if the person has been given an alert before giving them another alert of of any type. You can get more specific and say, for a gratitude repeat prevention duration, if the person has received a gratitude type alert, wait this many days before giving them another gratitude type alert.
And then the same thing there applies to follow-up. And down here, we have just a couple of alerts listed. Again, you can have as many as you want, but we just have these two for example purposes. One that's gratitude and one that's follow-up. We'll take a look at the gratitude alert.
So clicking on that alert brought us up to the configuration, going from top to bottom. , you can give the the alert a name, and you'll wanna make sure and give it a good name so that you can distinguish it from other similar types of alerts. You can optionally just narrow it down to a certain account. You also have the ability to decide whether or not if if the person gets this alert, should they continue to be evaluated for other alerts. You can toggle that off or on.
Again, every alert will have an alert type. It'll either be gratitude or follow-up. Right now, we're looking at a gratitude alert. You can choose which days to evaluate people for this specific alert. In this case, by default, it'll it'll calculate on all days that the giving automation job runs.
And last but not least, at the top here, have our repeat prevention duration, which says, wait this many days, after the person gets this specific alert before giving them this exact alert again. But down here, under the match criteria, this is where the real meat of the alert is because this is where we configure what conditions need to exist to trigger the alert. And so for this gratitude alert, we're looking at the amount sensitivity, and we have that set to two. And you can get a description of what these different numbers mean, , if you were to use two or three. There's a little example over here that tells you how that's calculated and what that means.
So, for instance, this gives an example. If you have a biweekly giver who usually gives $400, and that can vary by about $65, the alert would be generated if they got if they gave a gift of $530, which is 400 plus double 65 equals 530. And that's how that works. Down here we have the frequency sensitivity scale, which works similarly, but relates only to frequency. So if we were to put a value in here, it would give an alert when a gift is given earlier than usual.
And, that looks at, , how often the person typically gives, how much that varies by, and then calculates, how long how much earlier than their regular gift is expected it should be before the alert is triggered. If you wanted to do a follow-up alert for a gift being later than usual, you can talk you you would instead set this up as a follow-up. And as you can see, this updates the instructions. Down below, aside from the amount sensitivity and frequency sensitivity, you have some additional options for when to trigger the alert. And these are pretty self explanatory.
The alert will only get triggered if the gift is at least whatever amount you put here, but no more than the amount that you put here. You can also add criteria to the medium gift amount, so roughly the person's average gift. , you can specify a medium amount and a maximum amount for that. You can have a maximum days since last gift, , if you wanted to find somebody who has given, within a certain time range. And you can optionally provide a person data view.
And so, the alert will only go out if the person is in the list of people provided by this data view. And so, those are your configuration options on when to trigger an alert. Down below, we have alert actions. So when the alert does get triggered and and a person gets it, you can do a variety of different things. You can launch a workflow.
You can create a connection request. You can send the person a communication. You can also send account participants communication, and these are people who are configured on the account configuration itself. These are people it's it's sort of following for an account, and you can send a communication to those people. You can send a bus event if that applies to you.
And last but not least, you can create a notification for people who are in a selected group, and everybody in that group will get a notification. So again, giving alerts provide insight into changes into a person's giving habits. But this isn't the only tool that you have for measuring where a person is at with regard to their finances. So be sure to check out the other Rock You videos we have on giving and the Rock solid finances manual.
