Rock U - People - Adding and Editing Individuals and Families

Alright. So let's talk about adding and editing individuals and families within Rock. And so there's several screens and several areas we'll cover, but we'll cover this in in pretty good detail. So the first thing if you want to edit an individual, you'll notice there's a pencil on the upper right hand side of the screen. So let's go ahead and take a look at that. Now, this screen is fairly easy to comprehend. There's just a few things that you can change about the person, their demographics or age, marital status, grade. Over here, this is kind of an important one, their record status. And so if you make them inactive, you can then add reasons and some notes. Going down, have the basic con contact information about that individual. There's some email settings here whether the email is actually active and what their email preference is. A lot of these settings are gonna be managed for you in Rock so you don't have to worry about them. The person will be, marking their email addresses not wanting email or, if it if Rock receives as a balanced email, it'll it'll deactivate the the email there too. One thing to note though down in this advanced settings, there's a couple things down in here you might wanna be aware of. This, first setting combined with combined giving with determines how the giving is combined within the family and there's several different options. If you leave this blank, they're not gonna be combined at all. Ted's giving will just be Ted's giving but you can combine that as a family if you'd . And then also previous last names and this is helpful in in marriage situations, we want to be able to search on either their current last name or previous last names. Another good way of just keeping duplicates out of the system. So, pretty easy to update a person. Let's look at let's look at families. So you edit a family, there's another pencil in the upper right hand portion of the family bar where you can edit the family. So let's go ahead and look at that. Okay. So if I go to the family edit, click the edit button. Now, in this case, actually have a lot of things that I can do inside this family edit. I can actually change the text that we want, how we want to address the family. I can change the campus of the family. So remember campus is is tied to a family not to an individual. And I can change the record statuses of everybody in this family. Now down below I I can change some of these settings on the on the family members, make them adults or children, based on what needs to be done. I can go ahead and add a person to the family. So if there's a newborn or some situation where maybe not all the family members are in there, I can quickly add a person to the family right here. Now, I have two options up here, add a new person, so this person's not in the database, or I can bring in an existing person, from another family. You can also go ahead and move people out of the family. So if I want to, I can move Noah, say when he turns 18, I can push him into his new family. So if I just click that, it's basically gonna create a new family for Noah and put him in that. Now, hasn't actually done that yet. It won't actually do that until I hit save. But let's go ahead and and we'll we'll push them out to a new to a new family and then we'll come back through after we're done and I'll show you how you can add them back to this family. Below that are just the different addresses that we have on file for the person. Now, you can put as many different addresses in as you'd and there's different address types. You can add different, new address types. It's just a defined type inside of rocks. You can go ahead and add new ones. There's we put the address. There are two types of address beyond just the address type. There's a mailing address and a map location. It's common that someone may have a PO box and they want that to be their mailing location. But from a geocoding, geofencing, capability, we wanna know actually where do they live so that we can get them to things that are closest to them. And that's where what the map location is. I'm gonna go ahead and cancel that. Another feature you have, say someone's moving, you could go ahead and wire this all up and and change home the previous and then add a new home. But this this one button does everything for you. So it'll change their current home address to previous home and then give you a new home address that you can just type in. So that saves you some steps and keeps everything nice and accurate. Okay. So again, not gonna make any changes other than we will push Noah out to his new family. So I'll hit save. Okay. And now we realize the family unit is just smaller. So now let's just say that that was a mistake. We didn't want to to do that to Noah. We want him to come back into this family. I can go ahead and edit the family again. I'm gonna add a person to the family and I'm gonna use add existing person. From here, can find Noah again, select him. Okay. Now, have one more decision to make. Do I wanna remove the person from their other family? Now, in this case, I do because I made a mistake. I don't want him to be in the family by himself. I want me in this family. But note that people can be in multiple families within Rock and that helps pattern blended family situations in a powerful way. So, in those cases, you might wanna actually leave him and his other family if if you want to be in both. But in this case, I don't. So I'm just gonna hit save and then save again and Noah's back. So that's good. That's how you would edit a individual or family. Let's cover how we would add a person to the database or add a family to the database. Now, we saw how we could add any person to an existing family, but let's go ahead and see how we can add a entirely new family. So if I go into person, add family, I'll come to this screen where I can quickly add new people to the database. And if I wanna keep adding people to this family, can just keep hitting add person and I'll keep getting additional rows. Okay. Down below that, can pick the campus, choose the marital status, and provide an address. Now, I'm just gonna skip the address and move on to the next screen. So from here, can start adding contact information for each of the members of the family. And when I'm done, I'll be taken to the person profile for the first individual. And so that's how you would add family. Now, that add process is actually very customizable and will be other in other videos, we'll kind of show you how you can customize that block to do some really cool things. But in general, that's how you add and edit individuals and families in Rock.
