Rock U - Check-In - Attendance Self-Entry

There are different ways to track attendance, but it can be a little bit challenging when events or services are online instead of in person. The attendance self entry feature lets people self record that they're attending an event or a service online, and they can do it from their computer or from a mobile device. In this video, we're going to show you how that works, what it'll look for the person, and some of the configuration options you have for using it. When the person first comes to the attendance self entry component within Rock on the external website, if we don't know who the person is, either because they're not logged in or we don't have any kind of cookie or anything to identify them, then it'll ask the person for information so we can get them into the system and ultimately record their attendance. And so I'm going to fill this in as a brand new person just this, And then I'm gonna click next. So now that we know who the person is, we're gonna ask who else is joining you. So if anyone is if the person is watching the service from their house on their computer and if they have other people, who are with them watching, this is where we'll put those people in. We're gonna put in we're gonna put in Bob's wife, who is a spouse and is watching with him. And with the wife's information filled in for the spouse, I'm gonna click add additional individual because if we know that this is the person's spouse, then it immediately assumes, okay, is there a child who's also watching with you, or is it an online watcher? And the online watcher is is a relationship within Rock, and that would be anybody who's not part of the family, but who might also be watching. And so, , we're gonna put in a child just that, and then we're gonna add that individual. And so, now we can see that we have, Susan Smith, who is the spouse, and then Billy Smith, who is the child who's watching with Bob, who initially filled out this, this information. So, let's click next because that's the only people who are watching. And then here it's gonna ask, would you to create an account? And if they want to, they can provide a username and password. That way, it'll, it'll save them, from having to do this again and it'll help them connect on the website. So we do want to encourage people to be able to log in. And then if they create a username and password, they can do that. Or if they just want to skip it, they can and click next. And here we see the actual attendance self entry page. It is the same page in the same block that we were looking at before, but this is where we're going to actually indicate who is watching. Now, since we just filled this out, everybody is selected as watching because we just filled this out. But if people left the room or, , if it was just Bob and Susan who were watching, we could deselect Billy. But if all three of them are there, then we can select all three. If Rock knows who the person is, this is where the process will start for that person. So from here, the process is the same regardless of whether or not it's a new person or someone who's coming back and we know who they are. In either case, they can select who's watching and they can go back and adjust their remembered watchers. And so, if they need to add people to the list, , because somebody joined them for a future service or even for this one, they can go ahead and do that. Otherwise, we have our list of attendees here. And once everybody's selected, all the person needs to do is hit check-in. And that's all they'll do if they're already known to Rock when they come to the page. They can just select the people who are watching and hit check-in. And we give them a little thank you, and that's the end of the process. Their attendance has been recorded. Now, I'm gonna come back to the screen as Alicia Marble because she's an administrator because we wanna look at a little bit of, how this how this page works and some of the options that you have. So, I'm gonna open up the block settings for Attendance Self Entry. And it's important to note that the entire process, everything that you've seen, is all contained within this single block on this single page. It's just one page. You'll wanna note that you can put in an optional location if you need to. The check-in configuration, this is how it knows what it is that we're checking into that we're watching. So in this case, it's for service attendance. You'd want service attendance or weekly service check-in. You can choose what questions you wanna ask and what questions are required or not, so you can simplify the form a little bit if you want to. You can add known relationship types. We already saw online watcher in addition to child and spouse that were relationships to the person who's reporting the entry, but you can add additional relationship types if you want. The redirect URL will take the person to a different page, if you want, than the confirmation page that we saw at the end of the process. We also wanna note this workflow option. Of course, workflows are very powerful, and you can kick off a workflow using information from the check-in to to do, well, whatever you want because it's a workflow. We also wanna note these hide individuals options. Because of children's privacy rules, you probably wanna hide individuals that are younger than 13, because there could be legal consequences associated with things collecting their phone number from them or reaching out and contacting them. So depending on the situation and how you're using this, you might wanna keep younger kids out, and made that easy for you here. Last but not least, down here at the bottom of the block settings, you can change and customize each step along the way so that the messages that get shown to the person can be tailored to your service, your ministry, to their personal experience at every step along the way. And don't forget, this doesn't have to be used for online service attendance. You can use it for other types of events or in person services, because it can be used on a mobile device.
