Rock U - People - Person Profile

Transcribed Video Content

So let's talk about the person profile page. This is probably the most important page in Rock because we use it all the time. So before we dive down into a lot of the details, let's just go over the basic sections of the page, what we call the bars. So we have four bars to the person profile page. The first one is the bio bar and that's where we're gonna see a lot of the information about the demographics of the person and the contact information. Next is the badge bar and this is probably my favorite part of the page because we can see a graphical representation of a lot of data. Below that is the family bar so we'll see that for each member of the family and by clicking on one of those individual it'll actually make that individual the primary focus of the page. And then below that is a tabs bar where there's tabs with lots of different blocks and and and content and we'll step through each one of those a bit later. But let's first start with the bio bar. So here at the bio bar, the first thing I would note is that with the photo, you can follow that person by clicking the upper left of the photo and that will determine whether that person whether you're following that person or not. There's lots of other videos on what the following features do, but just note that that's a way for you to keep track and tabs on what's going on in the system about that person. Next, have their name but below their name is is another small badge area. Okay? And so what you need to know about customize that. Out of the box we show campus and their connect and connection status. If you want to add your own little labels below there, that's easy to do. Below that section is the their age or marital status, their contact information. But then the upper left side, you can actually kick off workflows with that drop down. And that's a really great way of automating tasks. So you for instance, you can create a workflow and when you and when you call it from there, the person will be passed into the workflow and that's already pre configured. Okay. Now, before we move on to the next bar, it's important that you note that the bio area the bio block has a lot of block settings and you'll want to adjust those block settings. So whenever you have an idea of how you'd want to change that, first check the block settings, it might already be there for you. Okay. So let's move on and look at the badge bar. Now, the badge bar again are just little graphical representations of data inside of Rock. And sometimes there's a lot of data behind these little pictures. So let's walk through each picture or each badge that ships with Rock. But note that you can easily create your own badges and there's gonna be additional videos that show you how to do that. So the first badge shows you how long it's been since you've been on the external website or how long it's been since this this person's been on the external website. Now this assumes that you are using Rock to drive your external website and that's a really good idea not only just for this case but there's also a lot of power when you run, your external website on Rock. So from this, badge you can say how long it's been since they've been on the external website but even more importantly if you click on it you can see all the different pages, that they visited. Now that can be really key when you're trying to communicate with these, individuals either through phone or email. By clicking on that and seeing where what they've been interested on the website kind of gives you a window into their interest with the church and that might drive how you have that communication, what topics you might bring up. For instance, if they've been on the baptism page or the starting point page, you might want to bring that into the conversation that you're having with them. The next badge shows you how long that person's been attending your church. Now this assumes that the data is in Rock and you can bring that over either through your migration process, but once you're on Rock these attributes will self update based on children's check-in and other things that we know within the system. Next, we have a badge that shows you how many times that person or that family has checked in in the last sixteen weeks. So this case, can see that they've checked in 11 out of the sixteen weeks. We find that sixteen weeks is a really good period of time to kind of see patterns in data and so that's why we use 16. Similar to that is the next badge which shows you two full years of check-in data, all in this simple picture. So each bar represents a month and the height of the bar is the percentage of times that they checked in during that month. So again, this is a very quick and easy way to see two years worth of attendance in a simple picture. Now, if you're a looking at an adult, you're gonna be looking at all of the attendance for the family. So we take all the kids and we roll it up together into this one chart. If you're looking at a child's record though, you're gonna see the attendance just for that specific child. And we do that because we generally don't have check-in data for adults so we kind of put it together based on all the kids in the family. The next badge shows their DISC personality profile. So Rock has a free DISC assessment built in that you can send out to them, they can take it online and the results go immediately back into Rock. And then this badge will be populated and it kind of shows you, their personality profile. This is covered in the manual, different things about DISC and you can find a lot of information about the DISC assessments online. Next we're gonna show you whether the person's been baptized or not. Now this works off a certain person attributes inside of Rock whether there's a baptism date or has been baptized and this this badge will then illuminate based on that. Next, we're showing you whether that person is in a group that's considered a serving group. So there is a group type that comes with Rock called serving team. If a person's a member of a group of type serving team, this badge will show. Finally, there's a badge that we call ERA. And ERA stands for estimated regular attender. Now there's no way that we can know for sure that someone is a regular attender in your church. There's just simply just too many people and Brock doesn't have enough data to determine every single regular tender. But we do our best guess based on giving and children's check-in. So there's a certain recipe and a pattern it's discussed in the manuals of when someone becomes an ERA But more importantly, there's another recipe of when they stop becoming an ERA. On either one of those events becoming or leaving an ERA status, you can trigger workflows. And that's a key ministry follow-up point. Especially when they stop becoming an ERA. Something in their life has changed and that probably warrants just a quick check-in just to make sure that everything is okay. So those are the badges that come out of, the box but again, you should be thinking about what badges you want to add to Rock. So let's move down to the next bar and that's the family bar. By default again, this just shows you the individuals in the family. By selecting them, you can make the person profile page targeted towards them. But it also shows their addresses and any family attributes that have been configured in the system. Now by default, don't show all the family attributes on the screen, just the ones that have been placed on grid. So those are gonna be the common ones that you want to show. On the upper right, there's a little chevron and if you push that down, you can actually then show all of the family attributes. So that kind of concludes, the the family bar. Let's actually dive down now and look at each of the tabs inside of Rock. Okay. So now here we are on the person profile tab which is the default tab. The first thing you'll see is a note taking area. So let's go ahead and just add a quick note. Now when I add my note, have a couple options here. I can make it an alert note which will make it red and put it up at the top this one or I can make it private and that would make it so that only I can see it. I'm just gonna go ahead and save that note. Now, once I save the note, I can actually go back and change the security of that note if I want to make it just for certain people or groups. There's actually some other ways that you can make the security, a little easier if you use note types on the person, but we'll save that for a different video. Okay. So notes are a pretty important part of this, tab, but there's some other, blocks that you should know about on the right hand side. The first is bookmarked attributes. And we have a whole video on how this, block works because it is that important. So I'd highly recommend that you watch this video and share it with everybody. Next, we'll show you a list of connection requests that have been started or processed for this individual. And below that, we'll show you any known relationships or implied relationships. And we'll come back and do videos specifically on these. So again, highly encourage you to look at those. Going to the next tab over, we're seeing extended attributes. Now, these are all of the person attributes that the person is allowed to view. Each of these different blocks on the page represents a category of person attributes. Now, you have a few different ways you can secure this. Obviously, can secure the attributes themselves. So if I'm not allowed to look at or change background check, I can I can change that so only certain staff can see that? But I also can secure who can view these individual blocks which represents categories. So there's several different options when it comes to security on that. Now, should be noted that we only show you the attributes that we actually have values for just to keep the screen nice and and uncluttered. So for instance, this social media category doesn't have any attributes. If I go ahead and edit it, we'll see that there are actual values here that I can put in. So if I did know offhand their Facebook profile, I could put it in here. And when I hit save, now you'll notice that there's actually a value. So that's how you'd view and edit these extended attributes. Next, we have the groups tab. And this is gonna show you a list of all the groups that that person is a member of. And so this is really handy just to get an overview of all their group memberships. And from here, if I click on this, I can go visit that group and make changes as I need to. Now, the contribution tab is not viewed by most people in Rock. So each of these tabs can be configured with different security to only show, when when needed. Now, there's two things to to think about when you think about security. One is you configure security to limit what people can see and what they should see. So what's the difference? , it's highly likely that most staff should not see, contributions. But some certain cases, maybe benevolence, you might say, well, I'm okay with everybody seeing that but there are certain areas where maybe they they just don't need that in their job title. So it might be okay that they see it but you just wanna clean up the interface and you just don't wanna show these options to some people and so you could configure it just to kind of remove it out of the options and keep this tab bar nice and clean. But here on the contributions page, can see a lot of information about the contributions for this family. So at the top, there's just a quick summary and this is just gonna give you some groupings, for the last two years. And if I hit show more, I can go further back. Over on the right hand side, I can add a one time gift for them or schedule a new reoccurring gift. And I can also get to several of their contribution statements. Below that, can see the pledge list, if they have any pledges in the system, as well as if they did have recurring gifts, I could see and manage them here. Below that, I'll see a complete list of all the transactions that they've that they've given. Below that is the final block which shows you the different bank accounts that they have tied to their account. So if they saved a credit card or or saved their banking information, their ACH information, it would show up below that. Next to that tab is the benevolence tab and that just shows any benevolence requests that have been opened for them. And there's a whole video on benevolence, so go ahead and check that out. Next to that is the security tab and that's gonna show you a list of all the roles that the person is in and what user accounts they have configured. Now, it's important to note that people can have multiple user accounts. So you can go ahead and and manage them all in here. And this is also where you do things set up a pin for them to use in the check-in manager. Below that, we're gonna show you, who's viewed their profile and what profiles this individual has viewed. This again is another security concept which is kind of makes, provide some accountability to who's viewing people's records and what's being done. The final tab is the history tab and here we're gonna just show you a ton of information about what's happened in the system related to this person. So we'll see what communications they have received, what attendance has been taken for them, all the different changes that have been made to this person's record including group membership changes. And so typically on a record that's been around for a while, this group history will be quite large. Below that, you can add documents, to this user. And so this allows you to store different documents that you wanted to keep track of about this person. So that in a nutshell wraps up the, person profile page. And, note that you can add your own tabs here if you want. These tabs really just are pages underneath, the the master profile page. So you could go ahead and if you wanted to add your own, tabs in here. A common one that some people add is a per request list. So by clicking on that, you'd see that individual's per request. And again, that's just a matter of setting up a new page and adding some blocks to that page with configuration. So again, that's the person profile page.
