Check-in is really important and there are a lot of different check-in settings. These settings change what it looks for your team to interact with check-in and for the people that are actually checking in to your services. So it's important to know what these settings are so that you can think through them and make sure that your settings align with your goals. So let's look at how to set up these check-in settings in Rock right now. Alright.
So before we start editing settings, I wanna briefly cover individual versus family check-in. So you'll select upfront if you want individual or family check-in in the settings. Here's the difference. Individual check-in, once a family is selected, you'll pick a person and then person by person, you'll do all these things, area group, location, service times, and then you print labels, then it cycles back and you pick another person in the family. Or family check-in, you enter your phone number, select multiple people, then select service times, and then for each individual person you pick area group location and that cycles.
So pick one depending on what makes sense for your organization, what acts more efficiently for your organization. Now let's get into actually picking the settings. So go to admin tools up to check-in, click on that, and then we'll pick the configuration that we want to edit. Let's do weekly service check-in, pick configuration settings, and we'll click edit. And note we're on trailblazer mode right now.
Then here you can see we pick the check-in type. If you pick family, you're gonna have more options. And with family, some things you'll have to pick between is family member auto select mode. And what that means is based on the number of days back you go, Rock will remember for you the people you selected or the people and their area group and location. Meaning that you can streamline the check-in process if you want some things to be auto selected, but you can pick whether you only want people to be auto selected or their area group and location as well if it's okay for those to be the same as last time.
Then you can pick if someone's gonna check-in for multiple services, should the same selections be reused? And you can also select whether you want to prevent duplicate check-in to a specific service time more than once. Then for a kiosk, this controls basic features such as whether someone can self checkout at a kiosk using their phone number or whatever, , they checked in, Or if you can remove a guest that has a can check-in relationship, and that's something that uses essentially in Rock. You can pick someone has a can check-in relationship. It could be someone in a different family and you'd be allowed to check them in.
And you can pick whether a guest can actually remove that check-in or that guest from the family. Then you can pick also whether someone is considered present when they check-in, or you can pick presence confirmation, which means in the check-in manager, someone will have to confirm that once someone's checked in, they're actually present in the room. Then display, so promotions content channel for next gen check-in, you can show a specific channel item on the homepage and cycle through those. You can pick an ads channel here really easily. You can pick whether photos as you're checking in show up for individuals or if or you can also select if for different locations you're checking into, you can see the number of people currently in that room.
Also, can select the celebrations that are configured, which achievement types for check-in for this type. So for example, if someone checked in ten weeks in a row, they would have a check-in celebration. Supervising check-in, this is for the the actual supervisors. You can pick whether there's a settings button on the kiosk. You can click and you can go do things opening and closing rooms and more.
Then on top of that, if that's selected, you can pick whether a supervisor can override and add people to a location that's already full. Also, you can pick whether from the manager, the check-in manager, you can do checkouts for people that are checked into a location. Now there's multiple ways to search with check-in, phone number name or name and phone. Depending on the one you select, you'll have different things, but we can have a minimum phone number length and a phone number maximum length as well. And you can even do ends with or contains.
So we out of the box do ends with meaning you would type in the last four of your phone number, but you can select what you want here. Then we can pop up the maximum number of search results when searching for families. That's especially important when you're doing by name as obviously you're gonna get more people showing up if you're looking by name than by a phone number as that's more unique. And then you can use a regular expression filters, look up how to do that, and that will, run against any search input before the search is performed. There's plenty of documentation online for how regular expression filters work.
Then security codes, these are printed on labels and just note we have three out of the box and that's 13,744 unique codes per day. So if you're you're checking in more people than that or around that amount, then you'll want to consider upping this to four. Now check-in registration, general registration settings. This is for when you're adding a new person from the kiosk. They've never been they don't have a record in your system.
We can pick things what connection status they have when they're added, the default person record source, and that just tells us where the person was added from, whether they can go straight to check-in after registration or if you have a different process for after they register, display an SMS option for phone numbers and the display name suffix. Then there's things we can do for each field that will show up such as we can pick which attributes we want required or we want optional for adults. If we want certain fields to be optional or required and more, then we can do the same setup for children. And then we can also pick a minimum age for grade confirmation. And for family registration, we can edit things whether we wanna display the address for families, or if we wanna hide or make it required.
Then again, required attributes for families optional. Then child relationship settings, you can pick relationship types. So you can add people with a can check-in type if that's here and more. Then you can also pick workflows that run when a new family or a new person is added from check-in. Now some quick advanced settings, if you are doing check-in with ability level, you can pick whether you want to say do not ask for ability level or do not ask if there is no ability level, meaning if you already have an ability level set up, then you can pick a different one.
Or do not ask if there is an ability level, meaning if you don't have an ability level, you can pick an ability level. And grade and age matching behavior, if you're checking into rooms and you have multiple requirements someone or if you have multiple things set up grade or age barriers, then you can pick whether grade and age both must match to get into the location or an age match isn't required or prioritize grade over age. And when you prioritize grade over age, it acts similarly to age match not required, but essentially this is what it does. And you can read up on the tool tip if you want to learn more about that, but it will filter by meaning the age match is not required and it will prioritize grade first. Then you can pick an age restriction for check-in.
You can hide adults or even children for this check-in. If you have a Rock mobile app with proximity check-in set up, we do have documentation set or on this on our community site, but you would enable proximity check-in here. You can hide inactive people from check-in. You can pick whether age is required to check-in or even grade. Then if you want this check-in type to be hid if you want to hide special needs groups, you can do that, meaning no special needs groups will pop up here.
And this is something you can configure when you are setting up your different areas and groups for check-in, or if you want only special needs groups to show up for this check-in type, you just pick hide non special needs groups. When you're done, you click save. Great. Now you have your check-in settings configured. One thing I suggest you do is just run a couple tests of check-in to make sure that everything is working as you expected.
