When you have a new family show up, often they want to let ahead of time. Now family preregistration allows them to fill out their information online, and they'll especially wanna do this if they have kids. And when they arrive at your ministry, you're ready to greet them by name. And this can be really helpful for a lot of different reasons, but I'll show you how you can set this up on your external website right now. So let's check out family preregistration. The easiest way to find it in default Rock is to go to your external website, click connect, then family preregistration. This is generally the kind of place you'd put this block on your website as it's gonna be to help you forecast and see people that are planning on coming to your church and get some helpful information. So we can see right up top there's visit information where families can pick the campus and planned visit date that they have. Also some information on adults and there can be a first adult, which is required, then second adult. And in this case, down here, you can click add child, then it will have you pick the relationship to the adult that this child has. And I'll show you some things that we can change on this block to change what's here. But you don't have to add a child if you don't want to, though if you do, there's some required fields here. Now let's go to the block settings. When we do that, you'll see there's quite a few things we can configure, such as whether you want to show campus as an option. This wouldn't be relevant if there's one campus or only one where you're using this feature. Then default campus, can pick. You can also pick whether campus is required. In a lot of cases, if you have multiple campuses, this is very helpful to have checked. You can pick the campus types that the person will be able to choose from, campus statuses, then campus schedule attributes. And these are things that you can set up that will allow you to basically when it allows you to select a campus attribute that contains schedules for determining which dates and times for which preregistration is available. So this helps you pair down the options that people can choose from in terms of schedules. Then you can pick whether the visit date is required. You don't always need this if it isn't relevant to you. Then we can pick a maximum for how many days ahead someone can preregister. You can also pick which family attributes are there to be filled out. I'll click this so you can see an example. Then allow updates, you can pick whether someone can change their listing or essentially whatever they fill in here. And a new family will always always be created unless auto match is enabled if you have allow updates set to no. Now auto match, what this is doing is using Rock's algorithms to check if this family or this record has already been entered so that you don't get duplicate information. But if this doesn't matter to you, if it's okay that records get or records get added multiple times for the sake of preregistering a family, then there's no need to have auto match turned on, though this will pretty often be helpful. You can pick the connection status that makes sense for whoever is signing up here. If you're using out of the box connection statuses, visitor makes most sense here. Then what status this record would be in, generally active makes sense as well. The record source and family registration makes sense though you could add even a more specific family pre registration record source if you wanted to track where records come from more specifically. Then a really nice thing is you can pick a workflow that runs once this entire process is completed or a workflow that runs for each parent that's added or each child. On top of that, can add a redirect URL so that once this is complete, you can send someone to a new page. And in this case, we have a special URL that's taking some information from this form and tailoring what people see based on how they respond. We can also add a or we can change what the planned visit information panel title says. I'll just change it to visit info for now so you can see what that change looks . You can pick whether people can edit their SMS opt in settings. And right now it's hidden, but you can pick really specific people that it's shown for such as just the first adult, all adults, or the adults and the children. Though often children won't have an SMS number in some cases. In some cases, they would and you'd want people to be able to pick whether they're opted in for each individual person. You can also pick whether CAPTCHA is used here. It can be helpful to have set to no, meaning CAPTCHA will be enabled because this is an external facing form and one that could be vulnerable to bot attacks. Then prioritize child entry. If you say yes here, it'll simply just put the add child section up top. Then you can get really specific about the different fields that are shown here and just tailor it to what information is helpful for your organization. You can hide or make different things optional or even required. There's all kinds of different ways you can configure this. You can also pick the attribute categories that people would fill in information for, but we're gonna skip that for now. You can also pick whether they can add profile photo and you can change even more of what's shown on this form to really tailor it to your organization. Now child fields are pretty similar, so we'll skip past this but you can pick which fields are shown, hidden, or required. Okay. Now child relationship. Out of the box, I'll show you here. We'll just save and I'll quickly mention a couple things that are different. First of all, we changed this to say visit info rather than visit information. But something else I wanted to show you is that if we come down here, we click add child. Rock is gonna assume out of the box that the relationship to adult is always gonna be child. And this is just using Rock's relationship features and using relationships allow us to see how people or how different person records in Rock are connected. And you may have your own list of relationships. There's many different ways that you can handle relationships and allow certain people to check-in other people. In this case, adults that have children in their family will always have the relationship type of can check-in, meaning they can check-in their child. But if we go back to the settings, we go through and we'll scroll back to the bottom, you can pick more relationship types. For example, if we want the relationship type to be grandchild, that might make sense if you have a lot of families that have seniors who are bringing in their grandchildren and wants to be able to check them in. And depending on how you have it set up, grandchildren can be checked in by their grandparents, but let's step through these other settings here. So same immediate family relationships. What this does is things or whatever relationship types you pick here will be considered in the same immediate family as long as you have it selected. Only child will be here by default. That's really all you need. Generally, unless you have a more complex relationship setup, then can check-in relationship. There's nothing here by default because parents can check-in their children and have a can check-in relationship. Grandchildren, let's just pretend that a grandparent couldn't or wouldn't have a check-in relationship with their grandchild. If that was the case, we could pick grandchild here and every time someone is added from this form with the grandchild relationship type, they would also automatically have can check-in added to as a relationship to their profile. So coming back down here, we add a child. You can see here grandchild is a option. Great. Now new families can get a head start before they even walk into your building.
