Attendance data is most powerful when you can see the patterns in it. Now you get a bunch of valuable data when you're running check-in and attendance analytics allow you to sift through it and see things such as how much attendance are we getting for this kind of group, what times do people come most often and more so that you can prepare for future check-in or future attendance. Let's look at these analytics in Rock right now. Let's look at attendance analytics. So to get started, go to tools, then under reporting, click on attendance analytics.
And you'll notice right when you get on this page, there's actually no information showing yet. The reason we did that is because you'll wanna specify what filters you want, what kind of analytics you wanna show, and we didn't wanna make this page take a long time to load because we put in the default filters. So once you get the filters set up, you can click update. And once you do that, you'll actually get the information that you wanna see. But let's talk through this block and some interesting things about it.
If you want to start by viewing this in full screen mode, you can do that by clicking this full screen button. You can also do the following. If you wanna see some documentation on the slider date range and just how that works. To make sure that you're getting back the information you want, you can click this help button and read up on that. Then once you've set some filters, you can copy a report link to your clipboard.
This is really helpful because say you set filters and you don't wanna come back, set those same filters again, you have a list of different reports that you wanna view, then you can bookmark those to your clipboard. And it's just the link to this page with a bunch of different page parameters on it that basically tell Rock, this is how we want the report set up. Then you can also click check-in detail to view the actual data that's feeding this report and you can also edit that data. Now we're looking at the chart view right now. Let's start filtering.
One of the most important things is to pick your attendance area. So we're gonna look at weekly service check-in, that's our type. You can pick the Sunday date range here, and then we can pick how we wanna group. So we can group things by week, month, or year, and that will change the way that our dates are displaying. Then you can pick a named schedule.
It's really easy to add these schedules in Rock. You might be using them already for check-in, meaning it will be easy to find just the times that you want. You can also pick which campuses you want to show up in these results. Then you're asked to select at least one group, and these groups are actually just areas for check-in because areas are groups under the hood. And you can pick whether you wanna show just active groups or all groups, meaning inactive groups will be shown as well.
So let's say we wanna see just checking for nursery crawlers walkers preschool. So we'll run that and it's pretty simple. It's just showing the total we have recently. We don't have a lot of data on these areas. And just note, you can limit further by even using a data view in Rock, which means you have tons of customization over what attendance analytics you're getting.
But let's do a wider example here. So we'll go back to the test group, we'll update this. Oh, what are we missing? Oh, okay. We'll group by week there, and the chart looks a little bit different.
And we've already set our filters, but now we can change what we're graphing by. So right now it's just total. We can have different weeks or... Sorry, different groups plotted. Can even break it down by campus and their attendance at each campus.
Location, which we've got a lot. So this is kind of a messy chart, but it's helpful to let which locations have had the most attendance, then even the schedule. And it's easy to click down here, click show data. You get a grid of information, all of the information that's feeding into this plot. You can even export that to Excel or merge records super quickly, super easily.
Let's move on to attendees. If you click there, our results are gonna look a little bit different because we're not looking at a chart anymore. We're getting the list of attendees. So let's get really specific with what we're showing. We'll just say nursery and we'll leave it this.
Actually, let's say current month. Let's see if we have any information there. We'll update this. Okay. We'll expand it.
We don't have any information there. Let's look at the current year of attendance and what information we have. So for each person, we can select them as on a grid because you can treat this a grid in Rock. We can click through the different options and we've got tons of different columns here, but we can also take action quickly to do things communicate, bulk update, merge person records, run a workflow, and then again, export to Excel or merge records. So let's go back to this information.
Right now, we're actually showing parents of attendees, which is kind of flipping the script. So for example, Alex Decker, there's two different entries because each parent is shown on as an individual row and we can see attendance, services, connection status, their address, all sorts of info, and then what their attendance look over a series of Sundays. You can also filter by visit and you can pick which visit it was for them or you can even pick a pattern, meaning you can get really specific attended at least two weeks for the selected date range and missed at least blank number of weeks between. And let's just leave it at attended at least two weeks for this selected date range. And that means we'll get a different group of people.
It's much smaller because less people attended for two weeks, but we'll go back to all attendees. Then this is probably the typical view you're gonna use showing just the attendees, a list of them, and it will be again in that grid format. And we can see the whole list of people that have attended and it's very similar to how it was before. You can even do children of attendees as another way that you output this data. So I'll show you that, but I'm just covering all this to help you see, in this case, can see first Alex Decker and it's showing the children.
So Noah Decker, Ted Decker, we can see Tim Greggs, Jordan Greggs, and it's showing the child and the name of their parent. So this is really nice way to see attendance analytics. There's so many different ways you can slice the data and get back just the information that you need. Great. You can see the patterns now for what attendance looks in your organization, and you can use this stuff to follow-up with people well or make sure that you plan programming well so that there are no kinks in the check-in process.
