Rock U - Event & Calendar - Calendars and Events
Transcribed Video Content
Your organization probably has a list of events and things that they wanna display using the calendar, whether it's internal or external, so people know when to sign up, when to show up, what events are happening and more. Let's look at how Rock makes events and calendars really powerful and extensible, how to set up a calendar and connect an event right now. Let's go create a calendar. So head to tools, down to calendars, click there, and we have the internal and public calendar out of the box, but we're gonna go add a new one and let's just call it youth. Generally, you'd want to add a nice description here, but we'll skip that for now.
And then we're gonna add an icon here. You'll see what this looks in a moment. You can add an event attribute that you can configure for any event that's added to this calendar. So let's make one called note to parents and we'll go down and save that. Then content channels, we can go add a new content channel such as external website ads, and you can use that to easily add things ads to your calendar.
Now we'll save and there's no event items here. If we go back to the calendars, you can see that icon and we have our calendar set up. Now I'll show you how easy it is to have an event that's on multiple calendars because you want this to be flexible. So we'll go to our public calendar. We already have some event items.
And when you add an event, it's sort of an overarching thing. So you can add all your details. You can pick, what the status is for approval and there's a whole approval process. You can add photos, pick which calendars this, event is on, what the audiences are, and this is just a defined list that you can use to show who's associated with an event. You can add personalization segments to pick who this event will show up for so you can really target and you can even add request filters.
Then to make it easier to post, you can add Twitter, Facebook photos, and then those event occurrence attributes. But we're going to go to one of the events we already have, the Warrior Youth Event and edit, and we're going to add it to the youth calendar. Now let's go and save this. Now any event we add here is gonna be associated with the youth calendar as well. Let's add an event occurrence.
And again, this is under the template of that event we made, but the occurrence is just gonna ask some simple things here such as the contact phone, email, what schedule is the event on and adding a linkage. Now this stuff is all important to show where and how to contact and who to contact, but the schedule tells us when the actual event is happening and sometimes it's gonna be recurring. So let's just say that this Warrior Youth event is going to be next Friday and it's at 10AM and it's just gonna be three hour event. Then that's something that's gonna happen every week. You can pick the days it happens on.
If you don't get specific about it, then it knows that it's gonna be on this specific day every week. Now you can really tailor the frequency with which these events happen and on what schedule. You can even exclude date ranges so you can get really, really specific. And we'll say the end state for this is going to be just a few weeks from now. That'll be the last one.
We'll click okay. We've got our schedule. Now if you want to link a registration, really easy, you can click here and you can even pick a group, super nice, a group to register for, or you can create a registration instance or you can use an existing instance. So if you're creating one here, you can really, you can actually just create a straight up instance using a template you already have. So we could go to the starting point template and say we want to add an instance with this name and what will it look publicly, all these different things to get it ready for that external site.
So you can turn an event into action and sign ups. Then you can pick the slug on the event registration page that's used such as you could say warrior event and, you could have a nice clean URL. But we're gonna skip that for now and we'll click save. Now we have this occurrence setup. If we go to the actual calendar on our public, our public calendar is being shown here on the external site, then we can now see if we go to the month, there are some upcoming events including those warrior youth events that we set up.
And there's a couple of them. We can go into the details and we can start to see what this event is about. If we had set up a registration, you could register here for it. Okay. You've got some events in the system and you're starting to learn how calendars work in Rock.
These things are both integral to how Rock works. So we've got a lot more resources and videos on how to set up registrations and a lot more. So if you wanna learn more about those things, go check out our videos and our documentation on the community site. Thanks for watching this video.
