Imagine someone asks you who changed that group role, and now you're second guessing yourself. The group history is something you should turn on on those important groups where you wanna track what's been going on, whether it's membership changes, role changes, or more. So it's easy to track group history. Remember, only do this if you need it. It doesn't need to happen on every group type, but this is something we change on the group type level.
To find that, we'll go to admin tools, up to settings, we'll look for group types, and I'm gonna search for small groups. We'll click into that, then we'll scroll down a little bit. Under system management, you'll see enable group history tracking. So you'll wanna make sure that's on. We already have it on for a group, so let's go straight away to a small group.
We'll go to people, group viewer, and I'm going to go to, say, the Decker group. And on the Decker group, there's a couple things I wanna note. First of all, you'd usually see the word delete here if you're dealing with a group type that doesn't have history on. But since it does have history, we can click archive. And this makes sure that we can still track history on the group.
If we want to reinstate that group, all we have to do is go to admin tools, settings, and look for archived groups. Then we'll see the Decker group here and can easily restore that group. Now I will go back to the group viewer, and you'll see that Ted's group is back. Now for the groups that have history, there is gonna be a view in our tools here called history. If we look into it, it's pretty simple.
It's just got a nice kinda chronological view of what the history looks . It tells us exactly what's happened such as me updating the group, archiving, and then unarchiving, adding members, and more. Just a really beautiful, easy to understand view that isn't overwhelming. And you can also quickly get to another year of history. Then in the settings, we can pick whether we want group members here.
If we remove that, we get a cleaner view, but a bit less detail. Then if we wanna actually look at group member history, clicking here, we can see historical group members and the date they were added, the last role people were in, and more. Just a great way to see people that have been in the group in the past. One other thing I wanna show off with the group history is say we want to archive one of these active people, we can do that, but I wanna show you a different place where we can do that. So let's go to Cindy Decker.
We'll actually look up her name here and we'll go to her profile. And from Cindy's profile, there's a tab option called groups. So we'll click into groups and it will tell us about group history for those groups that have a history. We can see the different groups she's in and what dates she was in those groups. Then we can see a straight up group list For those ones that have history turned on, we can go into it.
We can archive her removing her from that group, but just temporarily, we can actually still keep the history for it. And I'll show you how we can keep that history. So to get her back, we'll go to the group viewer again, and we will head back to the Decker group. Then let's click add, and we're gonna look for Cindy Decker. When we click save, it will tell us there's an archive record for Cindy Decker as a member in this group.
Do you want to restore the previous settings? Notes will be retained. We can pick whether we want to or not. Let's just say restore. And now when we're looking at the Decker group, we have Cindy back and we have all the history of her that we need.
Group history gives you a clear record of every change. That means when someone asks you who did this thing to a group, the answer.
