Rock U - People - Person Profile

Transcribed Video Content

The person profile in Rock is unbelievably important. You'll find yourself looking at it and using it all the time because it holds all the essential information about individuals and individuals are really what your ministry is centered around. So you can super quickly find notes, personal information, financial contributions, signed documents, all kinds of things. So let's look at where the person profile is, some configuration you can do and why you'll be looking at it all the time right now. Okay. Let's look at the super important person profile page. You can basically find one anywhere that you can click on a person. But an easy way to find a person of course is through the search and we're going to do a person search. We've clicked on Ted Decker and now we are on his profile. So it might seem a little bit at first you need a second to orient yourself. I'm just gonna step you through what each one of these sections means and even what some of these different tabs house. So this is one of the sections you're gonna find yourself looking at most often. It gives you a lot of context for a person's engagement with your church or your organization. And you can see things such as the last time this person visited the external website and that was today actually. You can even see the first time that someone visited and the color will be different depending on how long it's been since they've visited, but Ted's been here a long time. Then you can see out of the last sixteen weeks, how many did this person's family attend. Then for a really specific family attendance chart, you can see how consistent a family's attendance has been over the last twenty four months. So this is quite a few different bars and it shows that the Decker family has been pretty consistent. Early on, they had a couple less days they were attending, but they're consistent. We can also see a badge for when Ted was first baptized. And if we don't have this data, this won't display. You can also see that Ted's on a serving team, and it lists the serving teams that he's on, greeters, and AV team. We also have badges configured for all of our different assessments, and Ted's taken some of them. We can see which ones those are really easily right here and when they were requested. Also, this is where you'll see tags that you can either remove or you can super easily add new tags. Just another great way to categorize people in a Rock. But let's look at the block settings on this badges bar, and it's really simple. You can see that there's just a list of badges that you have set up and you can pick which ones show up here. Now let's look at a couple more sections. Another important one here is the actual person bio, and we can see the person's name, can quickly see their protection profile. And if you wanna know more about what the protection profile is, read up on our security documentation, but it shows here that he's got an extreme protection profile. Also, you can see a person's status here such as member or attendee. You can see the campus that they attend primarily, and you can really easily follow someone here. So I'm already following Ted and I can even unfollow him, but really easy here to just follow someone if you wanna see what's going on in their life. You can also see their nickname here. Then there's some quick actions you can take such as sending a text, email, or you can run a workflow from here on this specific person or edit them. You get some important info here such as age, how long they've been married, phone number, email, and even some social profiles. And for this block, when you edit it, you can pick some things such as what what workflows you wanna be able to run here and make sure those are workflows that accept the person entity. And you can select which badges show up. You can pick whether impersonation is enabled. We have another video on impersonation and where they'll start or where you would start for when you're impersonating someone. And you can even display someone's middle name. There's a lot of really nice things to configure here. Then moving on, this is the notes section, and it's it's great that it's front and center because you'll probably find yourself reading or adding person notes quite often. And there's all sorts of different types of person notes. It's really easy to just click here and add one such as just read Ted's profile. And I can save that. I can even pin it to the top, set it as an alert, and I can go back and I can read what people have attached to his profile. Also, have a list of bookmarked attributes and these are the ones that you find yourself looking at quite often that are really helpful. We have the position attribute and first visit bookmarked, but you can click edit and you can edit the actual attributes or you can pick which category you want to show up and then pick the attributes from there that you want to show up on this section. You can also see the active connection requests this person has, known relationships, which we have another video on, and you can see the peer network scores, basically who this person's most connected to within the organization in the database. We can see very... It's very fitting that he's most connected to his wife, Cindy. We can tell that that's his wife because of the family section over here where you can see who else is in Ted's family, their home address, and you can even verify it or change the location, then you can see some attributes for the family right here. Okay. And that's it for the actual profile tab. Let's move on. We've got another tab called extended attributes that we also have a video on, but this is a nice thing that you can configure as as someone who has access to people's profiles, you can pick which attributes matter most to you and you can organize them, and then it's easy to see things that matter such as baptism date. You can see there's all sorts of categories, all sorts of ways you can configure this. Then you can see where people are at in the steps process. If you have specific paths you wanna view, you can even add steps for a person. You can see the groups that this person is in and it's really nice. There's a timeline that shows you how long they've been in certain groups and what the list of groups that they're in is. And you can archive, you can do all sorts of things. It's really easy to take action from the person profile. You can also see documents that are attached to a person such as, photo releases, signed forms, and more. You can also go to this really helpful page, especially for finance workers. And something to note is you may wonder, should people have access to all these tabs? And if you don't want them to, you can simply go to the page settings and... Sorry, that was the wrong spot. Go to the security for this page and you can see the administrator, the finance administrator, and finance workers have access to this page, but everyone else doesn't have access. So there may even be some staff members that you don't want to see certain pages such as benevolence or contributions or more. And you can pick the security for each page, and it will hide the tabs that aren't relevant for someone. But here's a giving overview and you can see someone's pattern of giving. There's so many different helpful bits of info here such as when did someone give their first gift, their last gift, the giving journey, and there's more documentation on this on the community site if you wanna know more. But you can see exactly where someone's at in their giving journey, what their typical gift looks , their frequency, where they give. Then you can even see a yearly summary that shows the different funds they're... They've given to, totals, and more. You can even see a specific transaction list for a person. Then you can add gifts to a person's profile. You can edit their text to give settings. You can see if they have any scheduled transactions, if they have a saved account such as a card that they have on file, if they've set any pledges, and then you can even look at their contribution statements very easily from this tab. There's also the benevolence tab, and this is generally for attendees that make benevolence requests. You can see where they're at in the benevolence process here, such as we can see there's a pending status on this request. You can see the security for someone, so the different roles that they're a part of, different security roles, what user accounts they have, and even their profile, who has viewed their profile, and which profiles they have viewed. Then if you wanna really dig into what's going on with a person, the history tab is a really nice way to do that. You can actually see exactly what someone's communication history is, what they've received recently, and you can look at the actual content of those messages. But this is the messages that Ted has sent and you can see their attendance history across different groups. There's so many different things. You can see just a person's general history and you can see all sorts of different things that they've been involved in and actions they've taken. And that's it for the person profile, the super helpful page. Great. Now your way around the person profile. Hopefully, you see how important it is now and a little bit more about it than you did before. Thanks for watching this video and have a great day.
