A duplicate gift, an error, or even a change of heart. Eventually, you're gonna get someone asking for a refund. It's really easy to do in Rock. We'll talk about how to keep in sync with your payment gateway and make sure money gets back to the right person. Refunds in Rock are really simple.
Let's go find a transaction and I'll show you how easy it is then we'll talk through what a refund looks . So head to finance and we'll go to batches and let's find any batch here. I'll click on one and then let's select a transaction and we can see all the transaction details. There's a super simple button here. Just click refund and we can add a refund reason.
This is just a defined type so you can pick a, some new things to add to this refund reason list if you'd . You can easily add refund details. Click save and there you go. You can actually see the refunds that was made right here with the reason which makes it easier for your accounting team. Now let's move on.
Here's what the actual refund looks . So we already had a transaction and let's imagine this transaction was from Ted Decker and it was simply a $100 to the general fund. That was in a batch. And we decide to refund that transaction. Then how it looks is using the same payment gateway, we actually just send another transaction that is kinda a contra transaction.
So doing the opposite of what the first one did, giving a $100 back to Ted Decker, but we have the history of that giving which is important. And there's two ways this could be tracked. First of all, this could be tracked in the original batch if that batch is still open. If that batch is closed though, then we'll add another batch that looks similar to the first one, but it will have this refunds transaction in it. Handling refunds inside Rock keeps your totals and your contribution statements accurate.
Making sure that you handle your refunds properly will make sure that even when plans change, your books stay clean.
