Good follow-up comes down to doing the right thing at the right time. And memory is a terrible system for that. Reminders and Rock are something that you can attach to almost any sort of record, a person, group, and more. And you can add a due date to it so that what to do and when to do it. So reminders will have these different statuses or states is what they're called.
And here's how to tell them apart. First of all, if it's not due or due, it's considered active. When it's not due, that means the reminder date is still in the future. If it's due, it's time to act and the notice has gone out already. If it's complete, it's no longer active, it's considered inactive.
You've been reminded and the action is done. Now let's look at how to add a reminder. We'll go to Ginny Michaels, her profile, and this is what you'll notice. So when you have a reminder type set up for a certain entity and that page has context for it, then when you go to reminders, you can click add reminder. And if entity and context don't make sense to you, don't worry, I'll show you how to add a reminder type, show you the ones we have out of the box and more, but we will click add reminder here and it knows that we're adding a reminder for Jenny Michaels.
We can say in a couple weeks, send Jenny a thank you card. And the reminder type is personal reminder. We also have another reminder type set up for this entity. You can have multiple set up for one entity. Then you can also go to additional options to assign this reminder to someone else, or you can pick how often this repeats.
So you can say repeat every seven days, for example, and the number of times it should repeat, but I'm not gonna do that for now. We'll click save and come up here. We have a reminder already that's actually due, but I'll click here. We've got a lot. So this is showing off reminders.
You can filter the ones here. We're sorting by due date. We're showing it for all entities, all reminder types, and all dates. Usually, you just have it be something due, but here I'm just showing off all the different kinds we have. We have completed reminder.
We have the an old one for Sarah Simmons that is way past due. And for all of these, you can go reschedule them or even reassign them or delete it very easily. And you can we have some assigned to groups here even, and you can see we have a reoccurring one that we've created as well, but the one we just created is for Jenny Michaels. When you've done one of these things, it's super simple, you can just click to complete it and there we go, that's been done. But we're going to add more reminder types.
So go to admin tools, settings, and start typing in reminder, click on reminder types, got a few here, and, group and person alias, these group reminder and personal reminder come out of the box, but this hospital visit one is a new one we created. All we had to do is click add, we named it, you can add a description, the highlight color that shows up for this reminder, what the entity type is, the notification workflow, so how someone who's assigned this reminder is notified when it's when you need to be notified about it. Then you can pick whether you should show the note, the notification type, whether it's a communication or a workflow. For that workflow, you can just, use the one that you have picked over here. Then you can pick whether this should be auto completed when notified, meaning if you got the notification, you don't need to worry about going to that list of reminders and then ticking one off.
But there we go. That's what it looks to add a new reminder type. Reminders turn good intention into scheduled actions. Let Rock do the remembering for you. Rock will let what you need to do each day as long as you're setting the reminder.
