Rock U - Check-In - Running Check-in

Alright. Let's step through the check-in process. This will make it easier for you to understand what attendees are gonna be going through as they check-in so that you can make good decisions when we start to configure check-in in Rock. So when you wanna find check-in, all you need to do is go to your homepage on the internal site and click on the check-in button here. Now, the first time that you log in, you're gonna have this setup pop up.
It says check-in options and we'll do things pick the campus, the kiosk that we're using right now. You can pick a theme here. Right now we're doing next gen check-in, so that's the only one showing up. You pick a check-in configuration template and we have many different ones, but we're gonna do weekly service check-in here. And we're gonna pick the areas that we want people to be able to sign into.
And then you can save a kiosk template if you'd or not, either way, then click next, and there you are. Now this is the screen that people will see when they go to check-in first, and it's really simple. You click start, you can put in a phone number, and right now we're looking at the Decker family. Clicked on them and we can pick the people we wanna check-in. And right now we're doing a family check-in.
Then for each person, we can just pick the room we want them to be in. And you'll see this is how simple check-in is. And we can see, even status of achievements that they've been working on, and it's done. Now, if you want to mess with the settings, this is what it will look . As an administrator, you can click that settings dial on a kiosk, then type in your supervisor login.
And while you're here, you can see the current counts of people in different rooms and even the caps on, how many people can be in those different rooms. We'll log in and from here you can take a lot of quick actions such as reprinting a label if there was any issue with a label. You can override adding people to a room that's even full. You can schedule locations, so we'll click on that. And this will allow you to pick which schedules are available for different areas and locations for those areas.
And just know any change you make here is going to be persistent. So you'll wanna come back here and change it. Say, for example, you need to close the Saturday 04:30PM bears room, you save that. For some technical reason you had to close it next week when you come back, that room will still be closed. So when you're done, you should just come back and re enable this.
These things can also be done from the internal view in Rock, but it's really nice to be able to do from a kiosk just to access this manager mode. Then very easily, you can open and close entire rooms for any reason. It's super easy to take actions straight from the kiosk. And when you're done with that, you can just click close, you're back to where you were. Now, something I wanna highlight is that there's two different kinds of check-in.
We just did family. So you saw we entered a phone number, we picked the Decker family, and we selected some people. Then we didn't even have to mess with the service time because we already knew what time it was. So that was just automatically selected for us. And all we had to do was based on their age, groups.
And those groups had locations, we're done and we printed labels. And for each person, once we select their location, we'd go back to selecting an area, but some of these things will be automatically configured for you based on your setup. So even though this looks a lot of steps, as you saw in an actual check-in, we really quickly were just able to pick three locations for the people we were checking in and then we were done and we could print labels. For individual check-in, it looks a little different. Enter your phone number, select the family, pick a person, then go through those steps we saw before.
You select the service time, done, and you print labels, but then you go back to the person. So you're printing labels multiple times and you're picking one person at a time going through this whole process. So it's up to you which is more helpful, more efficient for your organization. It really depends on what your check-in setup looks , but this is how individual and family check-in differ. Now we mentioned that PIN in the manager mode that we typed in at a kiosk to change the settings.
To add a PIN that, all you need to do is go to a person's profile, click on security, then scroll down to user account list, and you'll add a new item. We actually already have one here, but the provider is just PIN authentication and the username will be the PIN that you wanna use. We already have that, so we can't add it again, but here it is. And that's what we use to help Alicia log in to a kiosk. Now that you've seen a check-in from beginning to end, you can start to support your team with confidence.
