Rock U - Finances - Benevolence

When someone facing hardship asks your organization for help, the worst thing that can happen is their request falling through the cracks. Rock makes it easy for you to track from start to finish, from intake to disbursement. I'm gonna show you where we can find a benevolence request and then how we can create new ones. And it will start by going to Ted Decker's profile and this will be the same for any person profile. There's a tab called benevolence you can click on.
When you click there, you'll see benevolence for a specific person, and you can even add benevolence requests for that person, see the status, and the total as well. But if you wanna see all the benevolence requests and add new ones, go to finance, then we will go down. Sorry, up to benevolence. And we have two requests right now. We can click into them to see more detail or you can go straight to the person's profile who is requesting benevolence or the person that this request is assigned to.
You can also easily filter the list here so you can see only the requests that you want to see. But let's add a new request here. We can pick a request type which is just benevolence in this case. You can also pick the status and you can pick whether it's pending, approved, or denied. Usually if you're adding a new one it's gonna be pending and someone else might be approving.
We have the date and we can say that this is assigned to Alicia Marble as she's in charge of benevolence. We can even pick a campus. Then there's all sorts of things person. But let's just say this person is going to be Ted Decker again. And his information is auto filled out the way we added it here.
Then we can add request details. Here we have the description of request required and we can say Ted needs assistance for rent this month. You can even add documents. Then later on, if we wanna come back, can update the results of this request and even next steps provided. So now that we have this all filled out, we can save.
And now we've got this request here. You can see it's in the pending status. We can go straight to Ted's profile. And you'll notice there's a workflow that shows up here that we can run straight on this request. We also see this thing that says click here to view details.
Now I'm gonna show you how we set up these things, some more block settings and then adding a benevolence type. So from here, we're going to go to the block settings here. And we can get really specific about who can see this block and what it looks . So we can pick a role here for the person that actually is going to be able to see this, and you can have a role such as benevolence worker, we have RSR benevolence here. Then you can pick whether the government ID for this person is displayed and you can see more details here.
We'll just save. And now let's look into adding a benevolence type. So we'll click back to benevolence. We've got that new request here. Now we can go click on the ellipsis, click options.
And we have a benevolence type right here. We'll click on it, see the details. You can see the name. You can pick whether benevolence type shows financial results. So if you don't even want finances to be a part of this type, you can actually remove that here and benevolence will be more about I need assistance in this way, but it's not financial.
And then you can fill out the results for the assistance that is requested. Pick a description, a maximum number of documents someone can add to their request. Then really nice here, I mentioned you can add a you can add that additional click here to view details was an example I used, but you can do anything that has to do with Lava and HTML. And you can even use the request with the benevolence request merge field. And here we're just sending people to a dummy link, but just an example of how you can extend benevolence.
Then on top of that, we can pick workflows that we want to have as options to be run on a request. And you can pick when this launch this workflow would be launched, whether it's manually, when the request is started, status is changed. If it's manual, you can just run it right from the request. You can pick up an or you can pick a workflow type here and you just pass the benevolence request into it. There we go.
Now we have our benevolence types all set up. Tracking benevolence in Rock gives you a picture of who you've helped and how, allowing you to steward your gifts well and keep track of those families that need help.
