Rock U - Workflows - Workflow Entry

Once you've created a workflow in Rock, you actually need a way for people to interact with it. The way we do that is using the workflow entry block. So I'll show you how we can add this to a page, pick the right workflow and customize it for your organization. Let's look at how we can do this in Rock right now. Workflows are indispensable and they're a really core part of Rock and they're really necessary to help you save time so you can focus on ministry. So let's look at the different places that you can launch workflow from and the workflow entry block itself. We're gonna look at five different ways we can do this right now. So first of all, you can go to tools, down to workflows, then for all the workflows that you have access to, you'll be able to see them here, and these are the top level categories. Clicking on one will show you the workflows that are within that category. And if you were to click on this button over here, you'd be able to see a list of workflows that are already in progress or completed for this workflow. Now something interesting in the block settings, just so you can understand this block a bit better is we can pick the categories that are shown, and we're only showing a few of them right now. But what this means is you can really get creative with where you're using this block. Say you want to have a page where people just have access to check-in category workflows, you can easily do that and you can pick whichever categories you want to display. Now onto the next method, we're on the external site and here is an example of the workflow entry block. So this contact us page is secretly just a workflow entry block. So we'll look at the settings for the block. And when you go, you can see there's quite a few different settings here, but we've hard coded the workflow type that's showing up here and that's external inquiry. But if you were to not hard code it and you're enabling or allowing the workflow type ID to be passed, you can do something really cool, which is that you can, based on the URL, if it has a workflow type ID at the end, you can dynamically change which workflow is showing up in this block. So that's a really helpful touch to do something where you can just create one page with one workflow entry block and use it for multiple purposes. Another way you can launch a workflow, and this is just for one specific person, is to go to a person profile and click actions. Then there's a list of different workflows we can launch from here. Now this is really helpful if you just wanna pass in one person and wanna do it directly from their profile. Looking at the block settings on the person bio block, you can actually pick which actions show up there. So that's really helpful. Then moving on, workflow triggers. This is something that will really save you some time, and it's a way to launch a workflow without you having to do anything except set up the trigger. And it's really simple. You can pick a trigger type and, that's really picking under what circumstances this will be triggered, this workflow. Then you pick the entity type, whichever workflow type you want to launch. Then you can pick the name and you can also pick the entity type qualifier column. And this is important because you'll be using this to create the conditions for when this is triggered. For example, we can say is active. And if what values are associated with is active, for example, if they were true or false, you could say changing from true to false. And that means post save anytime a... The is active column for a group changes from true to false, this workflow type will be launched. Now this is the last example of how you can launch workflows. So there's all kinds of Rock features that integrate workflows. This is just one example. Now on the connection type settings, if we go down to the workflow section, you can add a trigger event that is associated with the connection type and then a workflow type. And this is a really nice way to keep workflows integrated with features. So for example, here, when a request is started, we could pick a workflow type that we wanna run under those conditions.
