Rock U - Groups - Group Scheduling - Overview

The general point of using the group scheduling features is so that you can quickly and easily place people into locations at times and then follow-up on who's where. So often this gets used for maybe a regular weekend service, serving or volunteer teams for maybe your ushers or your greeters. Group scheduling lets you go to your group of ushers and say, we're gonna take this person and we're gonna put them in this room at this time. Easy as that. But, of course, you can also use group scheduling in other contexts. They can be used for potlucks, youth groups, summer camp volunteers, anything that you can think of. And so, in this video, we're gonna give you a brief overview of some of the setup that you're gonna need to have in place in order for group scheduling to work, as well as a little bit of a peek into some of the group scheduling tools that are available. We'll go into more depth on those tools in other videos. But for now, in order to get group scheduling to work, you're gonna need to have named locations in place. And so in this example, we've got our main campus, which has a building called Building 1. And in Building 1, have the Bears Room, and the Bobcats Room, and the Bunnies Room. And these are all the different rooms and areas where people are going to be serving. And you need to have these named locations in place. You also need to have schedules in place. This is also under general settings, and we need to know exactly when people are going to be at the location that we have established. So we need to have our when and our where, our schedules and our locations. You're also gonna wanna make sure that the group type that you're using, which would probably be a serving group type, that it has scheduling enabled. You wanna make sure that that's turned on because if it's not, then you won't be able to use group scheduling with groups of that type. With all that in place, you have your named locations, your schedule, and your group type is set up to do scheduling. You can come down to the group level itself. And here, we're looking at the children's serving team group. And you can see that we've added to this group all of those meeting details that, the children's serving group will be meeting in the Bears Room Saturday at 04:30, Saturday at PM, etcetera, etcetera. Last but not least, with all of that in place, you can actually start to use the group scheduler because you need to know who is gonna be where and when. That's what all of that other setup is for. And then once that, you can simply drag and drop people from the left, into the little columns on the right to indicate who will be serving when and where. Rock also comes with a group scheduler status board, which gives you similar information, but in a nice condensed package. So you can quickly and easily see who's gonna be where and when, as well as if you've got, , people that are still needed to fill slots in certain rooms at certain times. We've also got analytics behind the group scheduler so that you can quickly and easily track, again, who's where and when, people who have, responded to your request to be assigned to those rooms and times, people who have declined, people who are no shows. And you can look at all of those different types of trends over time using the group analytics feature. And so that briefly is just a quick overview of what you can expect with some of the group scheduling tools in Rock.
