Rock U - Communications - Communication Preferences
Transcribed Video Content
Communication preferences are important in Rock because we care about the people that we're sending messages to. And when we give them the option to say, this is something I do want or this is something I don't want or I wanna see more of this, they feel heard. So let's get into how communication preferences look in Rock and how to get them set up. Let's look at where someone would set up communication preferences on a profile, then we'll look at the two different styles of our email preference entry block. Those being the unsubscribe mode and the communication preferences mode.
So first, we'll go to a profile, Ted Decker's profile, and we'll edit. And if you scroll just a little bit, you'll see there's a contact info card, and this is where you can pick email preference and communication preference. And this is something that the individual can set from their profile on your external website, and you can also change from the internal website. Now with this in mind, let's move on. We'll go back to home, and we're gonna look at the unsubscribe mode of the block.
So first of all, if you go to settings and communication mediums, then click on email. You'll want to make sure that you have one click unsubscribe on and that you set an unsubscribe URL, which this will automatically be there for you, but you can set up the URL to direct you somewhere else. This is gonna be the URL that will automatically be populated for whenever someone clicks unsubscribe on one of your messages, though. I'll give you an example of a message. Take a look at this message from Pete Foster and notice we have the unsubscribe link right here.
If you were to click that, and now we've loaded up the unsubscribe mode of the email preference entry block. You can see right here, that's the block we're using. And if you access it from an email, it will always put you in this unsubscribe mode, which looks a little bit different than the communication preferences mode. So let's go over it. You can see it tells us we've been unsubscribed.
You've successfully unsubscribed from local serving opportunities, and you can manage email preferences below. Now if that was a mistake and you wanna revert quickly, you can just click resubscribe, and there you are. You're resubscribed back to the list. And you can also quickly do some other things in relation to preferences, such as updating your email address. You can pick your email preference, such as do you want to get all emails, only personal emails, or no email.
And something that's interesting about this email preference is how it acts depending on what you're unsubscribing from. If this person were to unsubscribe from an email that came from a communication list, then their email preference would be knocked down from all email to just personal email. That means any emails that come are only going to be personally sent emails to an individual rather than from a list, and it will put no mass emails on the person's profile. If someone already has personal email enabled and they unsubscribe from a personal email, then they'll actually have no email as their email preference from now on, meaning that they will not be contacted for any reason. But we're gonna leave this at all email.
And the reason we do this is so that when someone clicks unsubscribe, which is the nuclear button, they aren't automatically removed from all the communications, but instead, their engagement just goes down a little bit rather than removing them from every email all at once. Now here's a bit of a scarier button, which is remove me from all church involvement, and I'll show you what the screen looks . So if we were to click deactivate wait one moment. This is what pops up once you pick that deactivate button. And for data integrity purposes, this person who is deactivating themselves can give you a reason why so exactly why they don't want their profile active anymore, and you can give them the option to tell you more.
And something really great about this block is you have lots of control over what all of this text says, and you can edit that in the block settings to personalize this to your organization. Then once you've done this, you can pick deactivate. We're not gonna do that right now, though, because that's very dangerous, but there are all kinds of block settings that you can change to decide whether someone is allowed to deactivate from the screen or not. But let's go back back on the unsubscribe mode. If we go down a bit further, you can see there are current communication channels listed that you are subscribed to, and you have the option if you'd to unsubscribe, but it doesn't immediately remove it for you so you never see it again.
In fact, there's another section created where you can resubscribe to a channel if you'd to. Now let's move on to the other mode. On the Rock home screen, we're gonna navigate to admin tools, settings, then look for pages, and we're gonna look at our external home page. The reason we're doing this is the communication preferences mode can be accessed wherever you place the email preference entry block. So in this case, we've made it a support page just called email preference.
You can see we have the block added right here. So I'm gonna go to that page. And this mode looks a little bit different than the unsubscribe. First of all, it says communication preferences here, and this is a broader scope because we're not looking at just the lists we wanna unsubscribe from or resubscribe to. You have a bunch of options here such as opt out options.
Again, you can see your current communication channels, and you can actually pick what your preference is whether, for each individual channel, if you want to receive SMS messages or email, and you get a broader list of available communication channels. before, you can subscribe to things that you aren't already subscribed to, and you can quickly unsubscribe if you don't want that. You'll also see any communication flows that you've been added to in the list as well. Now let's get into block settings. So if we go down and click the block configuration button, there's a lot of options here such as whether someone can update their email address, manage channel subscriptions, and more.
So you can really pick what people can see on this email preference entry block. You can pick whether communication flows are shown. There's a lot more such as workflows you can add, what communication channels are available, and you can actually pick categories for lists and flows. Then on the unsubscribe mode, you can pick lists and flows to be shown, plus whether when someone's deactivating themselves, if they can deactivate their entire family. Of course, that's sort of dangerous, so think about it before you enable this on unsubscribe mode.
You can also pick inactive reasons to exclude. And if we scroll back up, there's also lots of options for customizing text so that every single title or description that you've seen on these blocks in different modes, you can tailor to your organization, and you can actually use Lava on many of these, which is really awesome. Alright. This has been communication preferences in Rock, and I hope you can see Rock does its best to make sure when someone hits the nuclear unsubscribe button that they're not alienating themselves from all your communications in the future. Instead, they're just getting the opportunity to say what messages they do want and what messages they don't want.
