Now that you've set up your group RSVP for the group type, you can go to the group and start adding occurrences. Occurrences are important not only because they indicate when and where the group will be meeting, but you must have an occurrence set up before you can send out group RSVP requests. So I'm gonna pull up my Gilbert group here, and it is of a group type for which I have enabled group RSVP. So when I look at this group in the group viewer, I can see the group RSVP icon is present. I'm gonna go ahead and click that icon to access the RSVP occurrences for that group. You'll notice on the page that there are already several occurrences listed. That's because this group is configured on a schedule. Let's take a look at that. So you can see here under the meeting details for the group that this group is scheduled to meet weekly on Tuesdays at 8PM. So if we go back to look at our occurrences, we can see that we already have a list of Tuesday at 8PM meetings. For groups that don't have a schedule or if you just need to add a separate occurrence that falls outside of the schedule, we can come and add a new occurrence here. The minimum setup is very simple. All that you really need is a date. It's the only required field. So I'm gonna go ahead and pick today, January 9. You can add a check-in schedule if applicable. For our purposes, I'm gonna leave that blank for right now. Similarly, you can optionally add a location. I'll go ahead and add a location here so you can see what that looks . And this is all that you would really need to set up an occurrence on the basic settings. However, there are advanced settings. Here in the advanced settings, we have a few options. We have a custom accept message and a custom decline message. And what that means is when a person receives your group RSVP email, which we'll cover in the next video, they will respond by either accepting or declining. There is a standard default accept and decline message already configured in the system. If you don't populate a custom accept message or a custom decline message, the default message will be used. So that you can see what it looks , I'm gonna go ahead and add a custom accept and decline message right now. So there's a brief example of an accept message and a decline message, or again, you can leave those blank and the default messages will be shown. Last but not least, under the advanced settings, we're gonna go ahead and enable show decline reasons. And as you might have guessed, enabling this means that when a person declines the RSVP invite, they'll be given the opportunity to provide a reason for why they've declined. And for each occurrence, you can select which reason or reasons are available. For our example, I'm going to select all of the available decline reasons. The decline reasons are a defined type that you can edit if you need to. They're a defined type under group RSVP decline reason. And now that I've got my occurrence all set up, I'm gonna go ahead and save. So here is our occurrence. And you can tell at the bottom part of the page that we don't have any invitees yet. We have no RSVP attendees found. We'll show you how to do that in the next video. Going back to the occurrence list, here we see the 01/09/2020 occurrence that we just set up. Of course, there aren't any responses for it yet. Nobody's been invited because we haven't sent out the email yet. Again, that'll be covered in the next video. So now that we've enabled group RSVP for the group type and then went to the group and added some occurrences, we're ready for the next step which is to send out those group RSVP request emails.
