Rock U - Groups - Group Scheduling - Meeting Details v12

Transcribed Video Content

Let's take a look at meeting details, which are part of a group that we're gonna set up, and we're gonna show you some of the prerequisite setup that you need in order to do that, and how it's done. So without further ado, let's dive into the system, and we'll take a look. Alright. Now the first thing that we're gonna do is navigate over to the admin tools and into the general settings. And from there, we're going to hit up the defined types. Now from the defined types, there's two updates that we're going to make here. We're going to go down, down, down here to location, and location type. And we've already got this set up, but we want to show you what's here. So we have the campus, and the building, and the room. We've already got set up for this. We just wanna make sure and highlight that you have your location types for the location category defined. Then we're gonna go back and somewhat similarly, and you'll see why in a moment. We're going to want to make sure that we have defined types for our group category location types here as well. And so we've already got these set up, and we're gonna be using meeting location. Again, we already have these in the system, so there's not much that we need to do here. But make sure, regardless, that you have your locations set up. And once they are, we can go back to general settings, and we're gonna take a look at schedules. This is the third and last piece that we need. And as you can see, we already have some service times and some event schedules set up. We're gonna run this, sort of demo with the weekend service time schedules that are already set up. So we're gonna be using those four. We're not gonna use these two, but you'll see that later when we get to the groups. For right now, the main takeaway is that we have the defined types for location and group set up for the location types, and we have a schedule. In other words, what we're building here is we need to know when we need people and where we need those people to be for that time, which is the backbone of scheduling. So now we're going to go to the group viewer, and we're going to check out the children's serving time group. And so, we have this group with some members already added. And what I'm gonna do is I'm gonna edit that group and go down to meeting details. Now in the meeting details, it says no locations found, and that's true because we haven't added any yet. We're gonna add some right now. So here's our location, and we have main campus, building, and here are our locations that we saw earlier. And I'm gonna pick the Bears Room, and it is a meeting location. We already defined the type. We saw that earlier. And for the schedule, we saw our schedules earlier, and I'm gonna pick the five times there that aren't designated as test. And again, these are the same ones that we saw on the schedule page under general settings. Now, as soon as I do that and I pick the schedules that I want, in other words, the times that I want, I can enter the minimum desired and maximum capacities. Let's use a little bit of magic to fill those in. And there we go. Just that, they're filled in. And so we're going to go ahead and click Okay. And so we have the bears room set up. Let's go ahead and do one more. We're going to do the bobcat's room, and we're gonna set that up with the same schedules. We want the same times. And I'm gonna select those. And once again, a little bit of video magic. And there you have it. Now, as with the other one, I only picked random numbers for the minimum desired and maximum. You would want to pick numbers according to how many volunteers would be appropriate for each of those columns. So I'm gonna click okay, and then I'm gonna be sure to go down and save my changes after I've added that. And there we go. So thank you very much. We hope that you found that informative on how to set up the meeting details that you'll need for the group scheduling. Be sure and check out the other group scheduling videos so that you can get a feel for the full process. And, of course, check out our documentation, Rock Your Groups available online. Thanks.
