Reminders are for those things that we always want to do but often forget. By setting up reminders for key events and tasks, you'll never miss an opportunity to have a positive impact on those around you. Before we dive too deep into reminders, let's talk about reminder states. Now reminders come in four different states. The first is active, which just means that you haven't been reminded yet or you haven't, , done what you needed to do yet.
It can be complete, which means you've done it. The reminder has come and gone, and you've done whatever needs to be done with it. Due means that you need to take action and you have already been reminded, it says there, either via communication or a workflow. And then you have not do, which is for active reminders with dates in the future. Okay.
So bearing that in mind, we're gonna flip over to Rock now. So the first thing that we're gonna do is take a look at how you can add a reminder. And in this case, add a reminder related to a person. So what we're gonna do is we're gonna pull up Jenny Michaels' record. And we're gonna add a reminder to send a thank you note to Jenny.
And to do that, we're gonna go up to the reminders icon up here, is a which is a bell. And we'll go ahead and click on that. And then right away, there's a couple things that we can see here. First, this is where you would come to add a reminder, which is what we're gonna do. You can also view existing reminders, which it looks we have, one of them at least there, as well as view notifications.
But for now, we're gonna just add a reminder. And there's a couple pieces to this. The first is the reminder date. So that's pretty obvious. When do you need to be reminded?
Then there's a note. So this would be whatever it is that you need to be reminded of. So you can type anything you need to in here. In this case, we're gonna put something , , send thank you card to Jenny. And this is gonna be a personal reminder.
You also have some additional options. For instance, you can assign the reminder to somebody else, so you can create reminders on behalf of someone. You also have the ability to let the reminder be repeated. So if it's, something that happens annually or monthly or whatever it is, can have it repeat every so many days. And then you can also kind of put an end to that and provide a number of times to repeat.
So if you need something daily, but just for a week, , you can you can configure that here. So we'll go ahead and put in a date and save this. So you can see up at the top, the reminder icon is is lit up and it's got a little dot indicating that there are at least that there is at least one active reminder there. So if we click on the icon and go to view reminders, we can take a look at, our reminders. And you can tell you can see when these are due.
You also have filters, to be able to filter by people, the state that it's in, when the due date is, and you can filter by reminder types. Speaking of which, let's take a look at the reminder types setup. So to get to the reminder types configuration, we're gonna go to admin tools and general settings. And then down under general settings here is reminder types with the familiar bell icon. And you can see that there are two that ship with Rock, the group reminder and the personal reminder.
The group reminder is reminders related to groups and the personal reminder is for those related to people. You can use the same entity type more than once. So you could have multiple reminders that relate to people. We just ship with one each, but you're not limited to that. And so let's go ahead and take a look at the personal reminder just to see what configuration options you have.
Of course, you have the name, whether or not it's active, and the description. Then you have the notification type. And this one is set to communication, which means it's gonna send out a system communication. And but you can change it to workflow. And if you do change it to workflow, then here you can indicate which workflow you want to run when the reminder comes due.
Then to the left, have should show note, and that just indicates whether or not the the note should be shown in the in the reminder. You can turn it off if if there's not supposed to be a note associated with it. And then should the reminder complete itself automatically once the person has been notified. And that means either once the workflow is run or the communication has been sent. And then lastly, you have on the right here the entity type.
And these are for people. So it's an entity type of person alias. And then you can give it a color. And, , the reminders show up in different colors when you're looking at the list of them. And this is where you can set that.
