Rock U - Check-In - Check-in Manager

Sometimes a parent checks their child into a room. The child goes to the room and is there for a full service, and then the parent comes and collects the child at the end. And sometimes it doesn't quite go that smoothly, especially with things mobile check-in. , there's a lot that can happen between the parking lot and checking in and actually arriving where the child is gonna be for the service and everything in between. Rock's Check-in Manager feature will help you not only with smooth processes where everything goes it needs to, but helps you deal with changes and challenges that might come along with the check-in process as well. So let's check it out. You'll get to the check-in manager by going to your domain, and then forward /check-inmanager. So rocksolidchurchdemo.com forward /check-inmanager. And that's how we arrived here. And the first time that you come here, you're gonna need to select a campus, if that's applicable. And so I'm gonna pick the main campus. And then you also need to select a location. So at the main campus, I'm gonna select the Bears Room. This is the room roster for the Bears Room. We can change the room that we're looking at by navigating here and look at all the different locations. We can also go to room settings if we need to close or open the room. And then we have our roster here, which has a ton of information. You'll see on the roster, photos of all the people who were checked in, their names, as well as the names of their parents, if they're children. You'll see little icons that indicate things an allergy, a legal note. The star indicates that it's the person's first time checking in. We don't see it here, but you'll also see a little icon if it's the person's birthday week. Of course, you can also see their tag for pickup, where they're checked in. If they're checked into multiple services, you would see multiple services listed here. And also the state that they're in. This is really where things get interesting because as you can see, we've got people who are checked in, present, and checked out. And so, let's take a little bit closer of a look at what that means by navigating along here to look at our checked in people. So, if someone is checked in, again, this could have been done from the parking lot, this could have been done from a kiosk, but they're checked in, but maybe not exactly in the room yet. And so if you have this feature enabled, which we'll talk about how to enable all these features later, you can come to the checked in tab and you can say, oh, what? Brian has actually physically arrived in the room, and so we can use this green button here to mark Brian as present. You can also, from here, use the x to completely cancel the check-in. So if we go over to our present list, we now have Brian here because we marked him as present. We also have Alex and Maddie, so we know that they're here physically in the room. For our present people, we can check them out if we need to. We can indicate that they're staying for another service. So this is our Sunday 09:30AM service, but if I click on this, would you this person to stay for the 11AM service? It knows that that's the next service, and I can actually check that kid in from here clicking that button. And, of course, last but not least is you can mark somebody as not present who is present. So, this basically reverts them back to being just checked in, but not present. And you might need that if you accidentally marked someone present, maybe who isn't. So, say Brian Jones was never really present, we can just click that button and he goes right back to the checked in state. The last tab along here is checked out. And so you can view the people who have checked out if they need to, If they decide to come back or if maybe they were checked out on accident, you can check this little mark present button, and it'll move them after confirming back into the present group, and now they're now they're back physically present in the room. So there's obviously a lot that you can see and do from the roster, but there's even more to check-in Manager. If you click the three bars over here to the left, you can expand the navigation menu where you see a few other options for things that you can do. One of those is the live metrics, which is a great way to get a look at how many people are present, checked in, checked out. This is still for the Bears Room. You can close and open the room from here. You get a graph that shows when people were checking in. If you don't wanna see it for the Bears room, you can navigate back and see all the rooms. You can see all the counts for all the rooms, close and open them individually, and you can navigate up and up into all the different areas, locations that you need to and see statistics and live metrics for every single one. We also wanna point out the room list, which is a great snapshot. It's an overview of who is where and what rooms. And so we can see here immediately our Bears room for the serving team doesn't have anybody checked in. But for our for our kids, we can see that there's three people checked in. You click on it, it'll take you right to the roster for that room. Also from the roster and from any of the tabs along the roster, you can click on a person, and it'll take you to their person profile page for the check-in manager. And so here we have Alex Decker. We have it configured so that allergies show up, and we see that she has an allergy to peanuts. We saw the allergy icon on the roster for her, and so this gives us that detail that we need to say, okay, she's allergic to peanuts. We can also see Alec's family. We have Ted, Cindy, and her brother, Noah. We also have some configurable badges up at the top. We have basic information about her. You can reprint labels if you have that enabled from this page. We can also see a history of her check ins as well as the current check-in. On the current check-in, you can use this page to cut straight to the bears room, and you can use the handy back button up here if you want to go back to looking at Alex Decker. You can also click on the row for the attendance to see the details for all that attendance, when they checked in, when they were marked present, who did it, all that good stuff. You can also delete, if you need to, the check-in. And while we're here on Alex's profile, let's go ahead and take a look at Ted, the parent. We can also view information about Ted, and you'll notice that we have his contact information here, which sometimes is important when a kid is checked in. If you really, really need to reach Ted, we have within the check-in manager, Ted has an SMS enabled phone number, and we have SMS messaging enabled in the system. And so we can click this icon and type out an SMS message to Ted just that, and hit send, and then Ted will get a text message right here from the check-in manager. Now that you've seen some of the features associated with the check-in manager, we wanted to show you some of the settings that you'll need to have enabled to use those features. So I'm gonna go to the admin tools and check-in. And then under check-in configuration, I'm gonna go to my weekly service check-in. And here we've got this is a standard check-in configuration. And I'm gonna edit this to make sure that I have allow checkout and enable presence are both enabled. This those are the two most important features to have enabled in order to be able to use the check-in manager as we showed just a few minutes ago. We also wanna point out some of the block settings on the roster. So let's take a look because there's a lot to see and do here. In particular, we wanna point out the enable options that you have down at the bottom. And so there's a group column that'll show the groups that the person will be checked into. You can check out all people in the room if you need to. The staying button that says that they're present for this service, but they're gonna be staying for the next service, you can turn that on and off, as well as not present and to mark present. And so these obviously relate to the presence features. You will need to have those enabled on the check-in configuration itself for those to work. And last but not least, we wanted to show you a couple of options on the person profile block settings because this is what let us see that allergy allergy to peanuts that Alex had is we added our child and adult attribute categories for Check-in Manager, child attributes, and adult attributes, respectively. There's a lot to manage with Check-in, and the Check-in Manager helps you do it all. And so if you're not using it, we strongly suggest that you, try it out.
