The Rapid Attendance Entry block records attendance for a whole crowd fast. Reach for it when you need to log a worship service, a class or any large gathering quickly, without stepping through a normal entry screen one person at a time. It works well beyond attendance too, capturing communication cards, prayer cards or anything else you collect in volume. Here's how it works.
To start, navigate to People > Rapid Attendance Entry. You’ll begin the process by selecting the group for which you want to record attendance. The group's settings and attributes determine which options will be available on the screen.
After filling out the required fields as described above, click the Start Entry button to proceed to the page pictured below.
Your page may look slightly different depending on how your organization has configured the block settings.
After entering a name and clicking enter, you’re ready to start recording attendance...and more!
Again, keep in mind that there are many block settings to tailor this page to your organization’s needs. The example pictured below highlights some useful features, but they aren’t required and may not be visible when you access the page in your system.
When you're done editing, click Save.
Workflows launched from this block will be passed the person as the workflow’s entity. If they exist, the block will also fill in any of the workflow attributes listed below:
Block Settings
Rapid Attendance Entry is built to be reshaped. Its block settings let you strip the page down to attendance alone, or open it up to capture prayer requests, notes, connection interests and more, so the screen matches what your team actually collects. To open them, select the ti ti-settings icon on the block. The settings are grouped into the sections that follow.
General Settings
Add Family Page - Sets the page staff open to add a new family.
Attendance List Page - Sets the page where attendance records appear.
Attendance
Enable Attendance - Because there’s so much that can be done on this page, you might choose to disable the attendance feature entirely. This is handy if you’re adding this block to a custom page meant only for contact cards or prayer requests.
Parent Group - Limits which groups are available for attendance entry. Only groups listed under the parent group you choose will be selectable.
Attendance Group - Locks the block to a single group, so attendance can be entered only for that group.
Show Can Check-In Relationships - When enabled, individuals who have a “Can check in” Known Relationship to the selected person become available for attendance entry.
Minimum Attendance Age - Individuals younger than the age you set here cannot be marked as attended. Leave it at zero to allow attendance for individuals of any age.
Show Campus Filter - When enabled, a campus picker appears that filters the available group locations by campus.
Campus Types - Limits the campus picker to campuses of the types you select.
Campus Statuses - Limits the campus picker to campuses with the statuses you select.
Connections
Connection Opportunities List Title - Sets the label shown above the list of connection opportunities. It defaults to “Connection Opportunities.”
Connection Type - Turn a check-in into a next step. Choose a Connection Type and its opportunities appear as checkboxes on the entry page. When someone selects one and you save, Rock opens a new connection request with that person as the requester. Leave this empty to hide the section.
Family
Family Attributes - If you have family attributes set up, choose which ones appear when editing family information. Those values can be changed while editing the family.
Family Header Template - This Lava template controls the family summary shown above the contact entry area. You probably won’t need to change it, but it’s there if you’re comfortable with Lava.
Individual
Individual Header Template - This Lava template controls the personal summary shown when viewing an individual. Like the family template, you can adjust it if you’re familiar with Lava.
Adult Phone Types - The phone types you select here are available to view or edit when editing an adult’s information.
Adult Person Attributes - The selected attributes are available when editing an adult’s person information.
Adult Communication Preference - When set to “Yes,” the communication preference for adults can be seen and changed while editing their information.
Child Phone Types - The phone types you select here are available to view or edit when editing a child’s information.
Child Person Attributes - The selected attributes are available when editing a child’s person information.
Allow Child Email Edit - When enabled, a child’s email address is available for display and edit.
When you collect phone numbers or email addresses for children, make sure you’re familiar with Children’s Online Privacy Protection Act (COPPA) compliance standards.
Race - Choose whether to collect a person’s race, which describes their physical traits and characteristics, and whether it’s required.
Ethnicity - Choose whether to collect a person’s ethnicity, which is a cultural identifier, and whether it’s required.
Notes
Note Types - Select which note types can be used. When more than one is allowed, the person entering attendance chooses which to use. If none are selected, the page cannot be used to enter notes.
Prayer
Enable Prayer Requests - Turns prayer request entry on or off for this page.
Urgent Flag - Sets whether the “Urgent” flag can be selected on a prayer request.
Public Flag - Sets whether a prayer request can be marked as “Public” from the page.
Expiration (Days) - Sets the number of days before a prayer request expires.
Default Category - Optionally sets a default category for new requests. If category selection is turned off, every request from this page is grouped into this category.
Default to Public - When enabled, new requests are marked “Public” by default. This can be changed per request when the public flag is shown.
Allow Comments by Default - Sets whether prayer requests entered here allow comments.
Enable Category Selection - Controls whether the person entering the request can choose a category or change the default when one is configured.
Workflow
Workflow List Title - Sets a custom title that appears above the available workflows. Change it to match the wording on a contact card.
Workflow Types - Select one or more workflows that can be launched from the page. See the details earlier in this article.
